What this guide covers
Creating transfer templates, assigning items to a transfer, generating a PDF report, and marking a transfer complete.
What a transfer is
A Transfer Template is a named container for moving items from their current location to a new box and/or a new owner. You create the template, assign items to it, and generate a PDF when the physical handover happens.
Prerequisites
- Items exist in the system
- Optionally: a destination box and a new owner already created
Creating a transfer
Navigate to Transfers in the top nav. The heading is Transfer Management.
Click Create New Transfer.
Fill in the modal:
Field Notes Name Required. A recognizable label for this transfer. Description Optional free text. Destination Box Where the items will physically go (optional). New Owner Who will own the items after transfer (optional). Active Toggle. Keep on while the transfer is in progress. Complete Toggle. Flip to Yes when the physical handover is done. Click Save. The transfer card appears on the Transfers page.
Assigning items to a transfer
Go to a box's item view (Boxes → View Items, or navigate to /box-item/:boxId/). For each item you want to include:
- Select the item using its checkbox.
- Use the transfer assignment dropdown to pick the transfer template.
The item now appears in that transfer. Repeat for as many items and boxes as needed.
Reviewing items in a transfer
On the transfer card click View Items. This opens /transfer-items/:transferId/ — a list of all items currently assigned to the transfer, with columns:
| Column | Notes |
|---|---|
| Item Name | Name of the item |
| Description | Item description |
| Box | The box the item is currently in |
From this view you can also select items and use the Merge or Delete actions.
Downloading a transfer report
On the transfer card click Download PDF. The backend generates a transfer report PDF listing all items in the transfer (names, descriptions, boxes) and downloads it. Print this for a physical record of the handover.
Editing a transfer
Click Edit on the transfer card to open the edit modal. You can change the name, description, destination box, new owner, and toggle Active/Complete.
Marking a transfer complete
Edit the transfer and toggle Complete to Yes. The card reflects the updated status. Complete transfers remain visible on the Transfers page (they are not deleted).
Deleting a transfer
Click Delete Transfer on the card. This option is only available if the transfer has no items assigned to it. Remove all items from the transfer first before deleting.
Troubleshooting
Delete Transfer button is missing or disabled The transfer still has items. Go to View Items, remove or unassign the items, then delete.
PDF download is empty No items have been assigned to the transfer. Assign items first (see above).
Can't find the transfer card Use your browser's built-in search (Ctrl+F) on the Transfers page, or scroll — all transfers are listed on one page.
