Generating Labels

What this guide covers

Generating QR-coded box labels and item log sheets as a printable PDF.

The two kinds of output

ItemChaos generates two types of printable material in a single PDF download:

Box labels (4.25 × 11 inches) One label per box. Contains the box's QR code. Print on adhesive label stock (e.g. 4 × 6 or 4 × 11 shipping labels) or on plain paper and attach with clear shipping tape. These go on the outside of the box so you can scan the box later.

Item log sheets Grid sheets with QR codes for individual items. The QR codes carry item IDs that are read during the mobile capture workflow to associate a photo with the right item.

Both sheet types come in the same PDF download, bundled by the starting box number you specify.

Generating labels

  1. Navigate to Labels in the top nav. The heading is Create Labels.

  2. Fill in the form:

    FieldNotes
Starting NumberThe Box ID that starts the sequence (e.g. 1, 42, B100)
Number of LabelsHow many labels to generate. The system rounds up to an even number automatically.
  3. Click Download Labels. The PDF downloads immediately.

Generating a label for a specific box

From the Box Management page (Boxes), each row has a Download Labels action button. Click it to download a label PDF for that single box without navigating to the Labels page.

Printing tips

  • Adhesive stock: Use 4 × 11" or similar full-sheet adhesive labels. Print at 100% scale (no shrink-to-fit).
  • Plain paper + tape: Print, cut to the label boundary, and apply with clear packing tape over the entire label to protect the QR code from moisture and abrasion.
  • Test scan: After affixing a label, scan it with your phone's camera or the ItemChaos mobile QR scanner to confirm it reads correctly before sealing the box.

Troubleshooting

PDF does not download Confirm the backend is running (check the home page for overview stats). If the API is up, try a different browser.

Number of Labels rounds up unexpectedly The system always rounds to an even number to fill complete label sheets. If you entered an odd number, it was rounded up by one.

QR code does not scan The label may have printed too small or with insufficient contrast. Reprint at a larger size or higher quality. Avoid glossy paper that reflects light during scanning.
